About the Role

We are looking for a highly organized and proactive Executive Assistant / Lab Manager to support our operations, ensuring smooth coordination across various initiatives. This role involves project management, logistical coordination, and research support—ideal for someone who enjoys working at the intersection of disciplines and thrives in a fast-paced, creative environment.

Key Responsibilities

1. Project & Event Coordination (Podcasts, Workshops, Exhibitions, Festivals)

· Liaise with guests, speakers, artists, scientists, tech teams, and venues to ensure seamless execution of events.

· Handle scheduling, logistics, and coordination for monthly podcasts, workshops, and public events.

· Manage communication with external partners, vendors, and stakeholders.

· Maintain a record of expenses, attendance and other impact parameters.

2. Research & Lab Support

· Assist in participant recruitment for research projects and experiments.

· Provide on-ground support for neuroscience and psychology-based studies (e.g., setting up sessions, managing consent forms).

· Conduct ad-hoc research and help in data organization for ongoing projects.

3. Organization-Wide Responsibilities

· Collaborate on large-scale projects such as the Creative Lab Festival, where the entire team contributes to planning and execution.

· Support internal team processes, ensuring smooth workflow across ARISA’s initiatives.

· Maintain documentation and streamline operations to enhance efficiency.

Required Skills & Qualifications

· Exceptional organizational skills – ability to manage multiple projects simultaneously.

· Strong coordination & communication – comfortable engaging with diverse stakeholders.

· Interest in multidisciplinary work – openness to engaging with fields like arts, science, and psychology.

· Problem-solving mindset – ability to troubleshoot and adapt to dynamic situations.

· Basic research skills – familiarity with participant recruitment and data handling is a plus.

· Tech-savvy – comfortable with scheduling tools, spreadsheets, and basic event management software.
